Portawebia ("we", "us") is a Finland-based web design studio that builds custom websites for small and medium businesses. We are the data controller for the personal data described in this policy. You can reach us any time at info@portawebia.com.
02 Data we collect
Information you give us
When you use our contact form or email us, we collect what you choose to send:
Your name and email address
Your business name and current website (if provided)
Your industry, platform preference, and anything you write in the message
Information collected automatically
When you accept cookies, we and our providers may collect technical data such as your IP address, device and browser type, and how you use the site — used to measure traffic and the performance of our ads. If you decline, none of this advertising or analytics data is collected.

04 Legal basis (GDPR)
Contract — to respond to your request and provide services you order.
Consent — for analytics/advertising cookies and marketing emails. You can withdraw consent at any time.
Legitimate interest — to run and secure our business and, for B2B research, to reach relevant businesses (see section 9).
Legal obligation — where the law requires us to keep or disclose data.
05 Who we share it with
We do not sell or trade your personal data. We share it only with the service providers we rely on to run the business, and only so they can perform their service for us:
Our CRM provider — stores contact-form submissions so we can respond to and manage enquiries.
Google (Ads) — measures the performance of our advertising, only with your cookie consent.
Our hosting & infrastructure providers — deliver and secure the website.
These providers act on our instructions under data-processing agreements. We may also disclose data where required by law or to protect our rights and safety.
06 International transfers
Some of our providers process data outside the EU/EEA (for example in the United States). Where they do, we rely on appropriate safeguards — such as the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses — to keep your data protected to EU standards.
07 How long we keep it
Contact-form & enquiry data — kept for up to 12 months after our last contact, unless you become a client or ask us to delete it sooner.
Client & project data — kept for the duration of our relationship and as long as needed for legal and accounting obligations.
B2B research data (see section 9) — kept for up to 4 years unless you ask us to remove it.
08 Cookies
Our site uses only the cookies strictly needed to work, plus — with your consent — Google Ads/measurement cookies. When you first visit, a banner lets you accept or decline; nothing non-essential loads until you accept. You can change your mind any time by clearing this site's cookies and site data in your browser, which brings the banner back.
09 Our research bot
To find businesses that might benefit from a better website, we operate a bot identified as "PortawebiaBot/1.0 (info@portawebia.com)". It only collects business-level information that companies publish openly on their own websites — such as a company name, business address, industry, and a public contact address like info@company.fi — and only where the site's robots.txt and terms allow automated access. This is used solely for our own B2B outreach. If you'd prefer we don't collect or contact your business, email info@portawebia.com and we'll remove you.
10 Your rights
Under the GDPR you can, at any time, ask us to:
Access a copy of your personal data
Correct data that's wrong or incomplete
Delete your data ("right to be forgotten")
Restrict or object to how we process it
Receive your data in a portable format
Withdraw consent you previously gave
To exercise any of these, email info@portawebia.com. If you believe we've mishandled your data, you can also complain to the Finnish Data Protection Ombudsman at tietosuoja.fi.
11 Security
We take reasonable measures to protect your data — encryption in transit, restricted access limited to authorised people, and regular reviews. No method of transmission or storage is ever 100% secure, but we work hard to keep yours safe.
